As a financial services software provider, Kurtosys Systems (collectively “we” and “us”) have provided a Privacy Policy that explains how we collect, use, share or otherwise process your information when you interact with our corporate websites.

This Privacy Policy applies to our corporate websites that run on a Kurtosys owned domain and describes our practices when we process:   

  1. Personal information for the purposes of solicited communications and marketing, such as requesting information through a signup form, submitting information via contact forms or social media communications.
  2. Personal information as needed by our websites to function, such as email addresses and names for login details.
  3. Personal information as needed to provide product support. 

Personal identification information

We may gather personal identification information from Individual Users in a a number of different of ways, such as; anIndividual Users who visit our sites, registers on the sites, places an order, subscribes to our newsletters, responding to a survey, filling out a form, among others which include other activities, services, features or resources we make available on our sites. Individual Users may be asked for details such as a as name, email address, phone number, or location. Individual Users do have an option to visit our sites anonymously. We will collect personal identification information from Individual Users only if they voluntarily submit the information to us. Individual Users can opt to not  supply their personal identification information; however this may prevent them from engaging in related activities of certain sites’. 

Non-personal identification information

We may collect non-personal identification information about Individual Users whenever they interact with our sites. Non-personal identification information may include the browser name, the type of computer, and technical information about Individual Users’ means of connection to our sites, such as the operating system and the Internet service providers utilized or other similar information.

Our corporately-owned websites  are protected through the Cloudflare network. Cloudflare automatically adds cookies to track various metrics for functional purposes. How we use collected information

We collect Personal Information that you actively submit to us through your account, website forms, email subscriptions, surveys, events, conferences, customer service, inquiries, and other interactions. You will know when we collect your Personal Information because we will directly ask you for the information. We will use Individual Users’ personal information for the following purposes: 

  1. To improve customer service.
 Information you provide helps us respond to your customer service requests and support needs more efficiently.
  2. To create a user profile for authentication and preferences. We may use your personal information to provide identification of your account and preferences as well as details that will enable security and authentication checks for your personal safety.
  3. To personalize user experience. We may use information in the aggregate to understand how our users as a group use the services and resources provided on our sites.
  4. To improve our Site. We may use feedback you provide to improve our products and services.
  5. To send periodic emails and make telephone calls. We may use the email address to send user information and updates pertaining to an order. It may also be used to respond to inquiries, questions, and/or other requests. We may also make contact by telephone if appropriate. If a user decides to opt-in to our mailing list, they will receive emails that may include company news, updates, related product or service information, etc. If at any time you would like to unsubscribe from receiving future emails, we include detailed unsubscribe instructions at the bottom of each email that reaches you. 

We are continually expanding our client reach. As part of our business-to-business marketing, we collect Personal Information from third-party sources to identify individuals who hold relevant job roles in companies that we believe to have a genuine interest in our products and services. Personal Information collected generally includes a first name, last name, job title, company name, email address, and phone number. We usually communicate via email or telephone to provide you with information about our products and services and offer businesses an opportunity to learn more about our company. On occasions, where legally permitted, we may also record sales calls for the specific purpose of training our staff and improving our client contact. 
Kurtosys systems do not engage in automated decision-making when it comes to any data received from client/prospective submissions.

How we protect your information

We adopt appropriate data collection, storage,processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of personal information such as, username, password, transaction information and data that is stored on our Sites. We secure this on computer servers in a controlled, secure environment, which is fully protected from unauthorized access, use or disclosure. All data is protected using encryption at rest and in transfer, such as the Secure Socket Layer (TLS) protocol.  Kurtosys retains data for the duration of the client’s business relationship, however we do retain the data for a period of time thereafter to allow our teams to recover accounts if clients decide to renew, or to analyse the data for Kurtosys own operations, as well as for historical and archiving purposes associated with the company’s history as a membership association.

Sharing your personal information

We do not sell, trade, or rent any Individual Users’ personal identification information to others. We may share generic aggregated demographic information that is not linked to any personal identification information regarding visitors and users with our business partners, trusted affiliates and advertisers for any purposes outlined above. We may use third party service providers to help us operate our business and the sites or administer activities on our behalf, such as sending out newsletters or surveys. We will only share your information with third parties for those purposes only if you have given us your permission to do so. 

Third-party websites

Individual Users may find advertising or other content on our sites that link to the sites and services of our partners, suppliers, advertisers, sponsors, licensors and other third parties. We have no control over the content or links that appear on these sites and we are not responsible for the practices employed by websites linked to or from our sites. In addition, these sites or services, including their content and links, may be constantly changing. These sites and services may have their own privacy policies and customer service policies. Browsing and interaction on any other website, including websites which have a link to our sites, is subject to that website’s own terms and policies. 

Right to access

Individual Users have the right to know what personal information about them is included in our databases and to ensure that the data is accurate and relevant for the purposes for which Kurtosys collected it. 

Individual Users may review their own personal information stored in the databases and correct, erase, or block any data that is incorrect, as permitted by applicable law and Kurtosys policies. Upon reasonable request, Kurtosys allows Individual Users access to their personal information, in order to correct or amend the data that was inaccurate. 

Individual Users may edit their personal information by logging into their account profile or by contacting Kurtosys by phone or email. By making these edits to your personal information, those Individual Users must provide truthful, complete, and accurate information. 

To remove your personal information, Individual Users can submit a written request to Kurtosys. 

Requests for personal data

Kurtosys will track each of the following and will provide notice to the appropriate parties under law and contract when either of the following circumstances arise: 

  1. Legally binding request for disclosure of the personal information by a law enforcement authority unless prohibited by law or regulation.
  2. Requests received from the Individual User. If Kurtosys receives a request for access to his/her personal information from a Data Subject, then, unless otherwise required under law or by contract with such Individual User, Kurtosys will refer such Data Subject to the Individual User. 

Satisfying requests for access, modifications, and corrections

Kurtosys will ensure to always respond in a timely manner to all reasonable written requests to view, update, or inactivate personal information.

  1. The right to withdraw consent – Right to be forgotten. Users may ask Kurtosys to delete or remove users’ data where you have exercised your right to object to processing. When users have provided personal data voluntarily, or consented to its use, they have the right to withdraw. 
  2. The right to data portability – Users may request that Kurtosys transfer the data that we have collected to another organization, or directly to you, under certain conditions which need to be stated.
  3. The right to restrict processing – Users may request processing restriction of their personal data under certain conditions.

Under the GDPR and the DPA, all individuals have the right to lodge a complaint with their local data protection authority (in the EEA) or the Information Commissioner’s Office (in the UK). Changes to this privacy policy

Kurtosys has the discretion to update this privacy policy at any time. When we do, we will revise the updated date at the bottom of this page informing you of when the privacy policy was updated. We encourage users to frequently check this page for any changes to stay informed about how we are helping to protect the personal information we collect. You acknowledge and agree that it is your responsibility to review this privacy policy periodically and become aware of modifications. 

Your acceptance of these terms

By using this site, you signify your acceptance of this policy and terms of service. If you do not agree to this policy, please do not use our site. Your continued use of the site following the posting of changes to this policy will be deemed your acceptance of those changes.
